Terms and Conditions
These are the general terms for booking, payment, cancellation, delivery and use of material. A specific booking or contract may include special terms stated in the written agreement.
Booking and payment terms
Invoices are due for payment no later than 10 days before the event date.
Invoices are issued with a due date 10 days before the event, providing ample time for payment and the opportunity to plan accordingly. The invoice will be sent to the name and email under "Partner 1".
If an invoice, cancellation fee or any other overdue amount is not paid, Nordic Agency may send payment reminders and charge reminder fees in accordance with applicable Danish law. A fee of up to DKK 100 may be charged per fee-bearing reminder, with a maximum of three reminder fees for the same claim, and at least 10 days must pass between fee-bearing reminders.
If payment is still not received after written notice, the claim may be transferred for debt collection. Any interest, collection fees and recovery costs may be added to the extent permitted by applicable law.
Coverage duration, locations and timeline follow the selected package and the confirmed agreement.
Changes after approval may affect availability, price and require a new written confirmation.
Cancellation and rescheduling
If canceled earlier than 14 days before the project date, 50% refund of the total amount is offered.
If canceled later than 14 days before the project date, no refund is offered. Special cases can be assessed at Nordic Agency's discretion.
Delivery and raw material
All material is delivered digitally via a secure download link in full resolution. Files will be available within 3 weeks after the event date and available online for one year.
Customers are encouraged to download and backup all files as soon as possible.
We deliver a carefully selected and professionally edited final product. Raw materials, including unprocessed recordings, images, audio files, etc., are not included, as we want to ensure that the delivered content meets our high standards and aligns with the intended creative vision.
Changes, coordination and communication
To ensure a smooth and professional experience, all inquiries regarding changes to the agreement, extensions of the assignment, or requests for additional services must be coordinated directly with Nordic Agency.
Any adjustments – including changes to the schedule, scope of work, or additional bookings – must be confirmed in writing via email to info@nordic.wedding or by phone at +45 42 41 56 62.
Please note that photographers, videographers, and other production staff are not authorized to enter into separate agreements or make commitments directly with customers. This policy exists to ensure that all agreements are properly documented, managed efficiently, and delivered to the highest standard. By keeping all communication centralized through your dedicated coordinator, we can guarantee a problem-free workflow and an excellent final result.
Rights and use of material
Upon full payment, all usage rights transfer to the customer. Nordic Agency reserves the right to use selected content for portfolios, website display, and social media, unless otherwise agreed with the customer.
Editing, photo and video
Images are delivered with basic adjustments to light, contrast, and color tones, but exclude more extensive image editing.
Simple retouching is included in the agreed price. This covers minor changes such as removal of blemishes, scars, or other temporary irregularities on people. Our focus is on correcting elements that are temporary.
Significant retouching is not included in the price. This includes more extensive changes, such as making people slimmer, taller, shorter, or changing clothing, e.g., adjusting the fit of a dress or removing parts of an outfit.
Additional retouching, such as digital facelifts or other cosmetic enhancements, also falls under this category.
If significant retouching is desired beyond what is included in the base price, this can be arranged for an additional fee. We are happy to provide a specific quote based on the desired changes.
Video content is edited according to the selected package, including color grading and basic transitions.
Provided if included in the package, subject to weather conditions and regulations permitting.
High-quality audio recording for speeches, presentations, or music when required, using external microphones or recorders.
Feedback and revisions
Our feedback process ensures smooth collaboration, so you can provide clear input and receive a polished final product. Customers are entitled to two rounds of feedback on all delivered work:
1. **First round:** Major revisions, such as rearranging sequences, removing or adding content, or requesting alternative clips for videos; or requesting alternative edits or adjustments to larger sets of images for photos.
2. **Second round:** Minor adjustments, such as fine-tuning colors, audio, or small details in videos; or adjustments to cropping, color tones, or small retouching details in photos.
To simplify the process, we use an online link for streaming both images and videos. You will receive a link where you can review content, add comments, and draw directly on images or leave time-coded comments on video timelines. This ensures precise communication and effective revisions. We will assist with additional adjustments at 800 DKK per hour.
Feedback must be provided within 30 days after receipt of the delivery to ensure that we can allocate resources efficiently and meet deadlines for all customers.
Revised versions are delivered within 14 days after receipt of feedback. The final, second revision is delivered no later than 14 days after the feedback is given.
Backup, equipment and liability
Cameras record simultaneously to two separate memory cards (dual recording), so an internal backup is automatically created during recording.
The video camera records to one professional memory card, which for security reasons is not changed during recording, but is only handled after recording is complete, after which the material is immediately backed up.
Files are stored for min. 12 months. We work with redundancy. Nordic Agency is not responsible for force majeure, theft or technical failures despite precautions.
Confidentiality
All information collected during the project is treated confidentially. Nordic Agency will not disclose customer information without prior consent.
